A good move-out letter does two things: ends the tenancy professionally and turns a departing tenant into a referral source. Here are three templates you can copy, customize, and send.

Template 1: Standard Move-Out Thank You

Use this for any tenant leaving at the end of their lease in good standing.

Subject: Thank you, [TENANT NAME]. Move-out details for [ADDRESS].

Hi [TENANT NAME],

Thank you for being a great tenant at [PROPERTY ADDRESS]. We appreciate you keeping the property in good condition and being reliable with payments throughout your lease.

Here are the details for your move-out:

Final inspection: [DATE] at [TIME]
Move-out date: [DATE]
Keys/remotes to return: [LIST ITEMS] to [LOCATION/PERSON]
Utility transfer deadline: [DATE]. Keep utilities on through your last day.
Forwarding address: Please send this to [EMAIL] by [DATE] so we can return your deposit.

Security deposit: Your $[AMOUNT] deposit will be returned within [NUMBER] days of move-out per [STATE] law, minus any deductions for damage beyond normal wear and tear. We'll send an itemized statement with the check to your forwarding address.

Before the inspection, please:

  • Remove all personal belongings and trash
  • Clean appliances, bathrooms, and floors
  • Patch any large nail holes (small nail holes from hanging pictures are normal wear)
  • Replace any burned-out light bulbs

Template 2: Long-Term Tenant (2+ Years)

For tenants who stayed a long time and took care of the property. The tone is warmer because the relationship warrants it.

After [NUMBER] years at [ADDRESS], it's hard to imagine someone else in that unit. You've been one of our best tenants. [SPECIFIC EXAMPLE: "You always caught maintenance issues early before they became expensive problems" / "The yard has never looked better than when you maintained it" / "Your neighbors have mentioned more than once how great you've been"].

We want to make your move-out as smooth as possible.

Template 3: Early Lease Termination

For tenants leaving before their lease ends due to job transfers, family situations, or other life changes. Professional and understanding.

We understand that [REASON: "your job transfer" / "family circumstances" / "the situation"] means you need to leave [ADDRESS] earlier than planned. We appreciate you giving us [AMOUNT OF NOTICE] notice and working with us on the transition.

Keys/remotes: Return to [LOCATION/PERSON]
Early termination fee: [AMOUNT per lease terms / "waived given the circumstances" / "as discussed"]

Before your final day:

When to Send the Letter

Timing matters. Send too early and tenants forget the details. Send too late and they don't have time to prepare.

What to Include (and What to Skip)

Always include:

  • Specific move-out date
  • Inspection date and time
  • Key return instructions
  • Security deposit timeline and return method
  • Forwarding address request with deadline
  • Utility transfer reminder

Skip these:

  • Lengthy legal language (save that for the lease)
  • Passive-aggressive reminders about past issues
  • Generic corporate pleasantries nobody reads
  • Marketing for your other properties

Why Referrals Come from Move-Outs

Tenants talk to other tenants. A professional, respectful move-out experience is the last impression you leave. It's also the one they remember when a friend asks "know any good property managers?"

The bar is low. Most tenants get a cold form letter or nothing at all. A personalized thank you that mentions something specific about their tenancy stands out. It takes 5 minutes and costs nothing.

After the move-out, follow up with the deposit return on time (or early if possible). Late deposit returns undo everything a good letter accomplished.
